Rental Terms & Responsibilities

Off The Ground Sound takes pride in providing clean, well-maintained, professional equipment that is ready to perform. To protect our equipment, our clients, and the availability of equipment for other events, all rentals are subject to the following terms.

Equipment Responsibility

The renter assumes responsibility for all rented equipment from the time it is received until it has been physically returned to and accepted by an authorized Off The Ground Sound representative.

Equipment should be used only for its intended purpose and handled with reasonable care. The renter may be responsible for damage, loss, theft, excessive cleaning, missing components, or other costs resulting from misuse or failure to properly safeguard the equipment.

Returns Must Be Coordinated

All equipment returns must be scheduled and acknowledged by Off The Ground Sound before the renter travels to make the return.

A text message, voicemail, or other notification that equipment is being returned does not by itself constitute confirmation. Please wait until a member of our team acknowledges the return and confirms the time or arrangements.

Equipment may not be left unattended at a residence, business, venue, doorway, loading area, yard, porch, or other location unless Off The Ground Sound has specifically authorized that arrangement in writing.

The renter remains responsible for the equipment until Off The Ground Sound confirms that it has been received.

Rental Period & Late Returns

Rental equipment must be returned by the agreed-upon date and time.

Equipment that is kept beyond the contracted rental period may be subject to rental extension charges until it is returned and accepted. This is especially important because equipment may already be reserved for another client or production.

If you anticipate being late, please contact us before the scheduled return time. We understand that plans change, and we will make reasonable efforts to accommodate changes when they are communicated in advance.

Failure to return equipment or communicate with us may result in additional rental charges and, when necessary, reasonable retrieval, replacement-rental, collection, or other costs resulting from the delayed return.

Equipment Retrieval

If Off The Ground Sound must travel to retrieve equipment that was originally scheduled to be returned by the renter, an equipment retrieval fee may apply.

Any retrieval arrangements should be confirmed in advance. The availability of an Off The Ground Sound team member to retrieve equipment is not guaranteed.

Batteries & Charging

Off The Ground Sound strives to provide equipment with rechargeable batteries fully charged and disposable batteries in appropriate operating condition at the beginning of the rental.

However, the renter is responsible for checking battery and charge levels before use and for maintaining adequate power throughout the rental period or event.

Whenever applicable, chargers, power supplies, or charging instructions will be provided or identified. Battery runtime can vary based on equipment settings, usage, environmental conditions, battery age, and other factors; therefore, a fully charged battery should not be interpreted as a guarantee of a particular runtime.

Cables & Gaff Tape

Only professional gaffer's tape ("gaff tape") may be applied to Off The Ground Sound cables or equipment unless we specifically authorize another method.

Duct tape, packing tape, masking tape, electrical tape, adhesive labels, or other materials that may leave residue or damage equipment should not be used to secure our cables.

Excessive adhesive residue, contamination, or damage requiring additional cleaning or repair may result in a cleaning or damage charge.

Cable Handling & Packing

You do not need to professionally coil our cables before returning them.

In fact, unless you are familiar with proper professional cable-wrapping techniques, we prefer that cables be placed neatly and safely with the returned equipment and that our team handle the final wrapping and organization.

Please do not tightly wind cables around your arm, equipment, stands, or other objects, and do not force cables into cases or containers in a manner that may kink, twist, pinch, or damage them.

Missing, Lost, Stolen or Damaged Equipment

The renter is responsible for safeguarding rental equipment while it is in their possession.

Lost, stolen, missing, or damaged equipment should be reported to Off The Ground Sound as soon as possible. Depending on the circumstances, the renter may be responsible for reasonable repair or replacement costs.

Normal wear resulting from proper use is not considered damage.

Cleaning & Condition

Equipment should be returned in reasonably the same condition in which it was provided.

Normal use is expected. However, excessive dirt, mud, food, beverages, adhesive residue, smoke residue, water exposure, or other contamination requiring unusual cleaning may result in an additional cleaning charge.

Communication

Good communication solves most rental issues.

If something changes, equipment is not working as expected, a return will be delayed, or you have any concern about the equipment, please contact Off The Ground Sound as soon as possible.

We would much rather help solve an issue in real time than discover it after the rental.

Additional Charges

When applicable, additional charges related to a rental—such as approved rental extensions, retrieval, excessive cleaning, missing items, repair, or replacement—may be invoiced separately after the original rental invoice.

Any such charges will be documented and invoiced through our normal billing process.

Our Commitment

We understand that events don't always go exactly according to plan. Our goal is not to penalize clients for reasonable circumstances; our goal is to protect our equipment, maintain dependable inventory, and ensure that the next client's event receives the same level of preparation and service as yours.
